Connect the technical specification to the contract or pro forma invoice. A commercial product name alone is not enough: grade, origin, packing, net weight, tolerances and the quality-approval method should be written.

A certificate of analysis means different things across commodities. Parameters for moisture, defects, physical characteristics, microbiological scope or other application requirements must fit the actual product and destination.

Packing list, origin records, transport documents and insurance should be checked against the agreed transaction terms. Keep a reference sample or document set and use batch or shipment identifiers consistently in communication.
